Retention Policies in Fathom

Edited

Setting a Retention Policy allows organizations to automatically delete recordings in Fathom after a configured period of time, helping teams manage data privacy and comply with internal policies.

This feature is available only for users of the Team Edition Business Plan, previously known as the Pro plan.

🕒 What Is a Retention Period?

A retention period is the amount of time recordings are kept before they are automatically deleted from Fathom.

Once a retention rule is active, any recording older than the set period will be permanently deleted.

🛠️ Where to Set Retention Rules

If you’re on the TE Pro plan, you can now manage this directly from your Fathom dashboard:

Team Settings > Compliance > Retention Policy

Note: All users will be routed to this KB article when attempting to adjust or view the retention policy settings. This behavior is currently not configurable in the Settings page.

🧭 If You're Not on TE Pro

If you want to use retention settings but aren't sure of your current plan:

  • If you're already on Team Edition (TE Standard), email help@fathom.video. We’ll route your request to our Customer Success team to help explore upgrading.

  • If you're not yet on Team Edition, reach out to:

    • support@fathom.video, or

    • Your Fathom Sales representative

They can help get you set up with the right plan for your team.

❓FAQs

Can I apply different retention rules for internal vs. external meetings?
No — we only support a single policy per team. All calls are treated the same once a rule is applied.

Can I request a custom retention period?
Yes! If you’d like a time frame that isn’t listed in the UI (e.g., 18 months), reach out to help@fathom.video. Custom durations are subject to engineering approval.
